A Small-Business Digital Account Ownership Checklist
A practical checklist for confirming direct control of essential digital accounts without relying on shared passwords.
Published: · By: Ghost Dev Stack
The objective
The business should remain able to renew, recover, inspect, export, and reassign its core digital assets when a staff member or vendor changes. That requires owner-controlled accounts and recovery paths, not a spreadsheet full of shared passwords.
Check the essentials
- Domain registrar: business-controlled registrant details, renewal payment, recovery email, and two-factor authentication.
- DNS: documented provider, authorized administrators, and exportable records.
- Hosting and website: organization owner access, backups, restore path, source and database exports, and license inventory.
- Email: administrator access, verified recovery methods, and a process for adding or removing users.
- Google Business Profile, Search Console, Analytics, Tag Manager, and Ads: the business holds the primary account or organization role and vendors use named access.
- Forms, CRM, call tracking, payment services, social profiles, creative assets, and code repositories: ownership, billing, integrations, and export rights are recorded.
Remove hidden single points of failure
Replace a former employee’s personal recovery email, document hardware security keys and backup codes securely, assign at least two appropriate owner-level administrators where the platform supports it, and review vendor access periodically. Do not weaken security just to make access easier.
Record evidence, not secrets
An ownership register should identify the platform, purpose, business owner, billing owner, recovery channel, vendor roles, renewal date, export method, and last review date. Store passwords and recovery codes in an approved secure credential system, not in the register itself.
Test one recovery path
A checklist is incomplete until the business confirms that a current owner can sign in, see the expected property, and reach supported recovery or export controls. Do not trigger disruptive resets on production accounts merely to prove they exist.
